Personal Assistant
About the role

Here at Babcock International we’re looking to recruit a Personal Assistant.


You’ll provide a high quality and professional service to the Finance and Organisational Development Directors (part of the MA Board) and their reporting lines to facilitate the efficient operation of their areas of responsibility.


There is the opportunity to discuss a flexible / part-time working pattern for this role based from the Lakeside office, Portsmouth.


• Pro-actively managing and co-ordinating diaries and meeting requirements with appropriate travel times and bookings
• Pro-actively managing and maximising opportunities when meetings are held at non-home locations
• Preparation and control of document packs and prompting timely updates for outstanding actions
• Providing a high quality point of contact for internal and external stakeholders, managing  calls, mail and email in a manner appropriate to represent Babcock
• Filtering and logging correspondence and ensuring it is distributed in a timely manner for them to action and respond
• Ability to manage confidential and sensitive matters and associated information
• Holding weekly catch up meeting with supported principals to ensure plans and priorities remain coherent
• Managing all requests for IS
• Scheduling regular programme and site visit reviews up to 6 months in advance
• Establish and maintain a share point site/records
• Plan and organise events and conferences as and when required


What do I need to do the role?
• Driving licence is required to facilitate site visits where necessary
• Proficient in Microsoft applications - PowerPoint, Word, Excel and Outlook


What else do I need to know?
• All applicants must have the legal right to work in the UK and be subject to satisfactory security clearance which includes 3 years reference checks. Verification of any qualifications/passport/licences must be shown at interview stage.
