Job Description:

 

In this role you will provide professional PA/ Secretarial support to a Director and his team.

Requirements of the Role:

 

To include but not limited to:

 

  • Prioritise workloads, meetings and items that require urgent attention.

     

  • Organise and prepare the necessary paperwork for meetings.

     

  • Dealing with issues in a Director’s absence, delegating to the Management Team as necessary.

     

  • Manage the appropriate diaries of Directors, using discretion to change appointments as priorities arise.

     

  • To manage e-mails and delegate actions as appropriate.

     

  • The first point of contact for visitors, customers, VIPs etc. either personally or on the telephone, portraying a professional image of the Company.

     

  • Ensuring that all arrangements are put in place for the arrival of visitors, including security, technology, together with domestic arrangements.

     

  • Making travel arrangements including itinerary, obtaining currency, organising flights, hotel accommodation etc. ensuring the most appropriate use of time.

     

  • Dealing with all incoming mail and wherever possible drafting responses and  delegating issues.

     

  • Preparation of documents/presentations as required and in a timely manner.

     

  • Responsible for confidential documentation.  Maintain related documents up to and including SA level of classification.

     

Behaviours and Requirements of the Role:

 

  • Advanced knowledge of MS applications, ie Word, Excel, Powerpoint etc.
  • Excellent organisational and communication skills, together with the ability to work in a professional and confident manner, maintaining confidentiality and discretion at all times.
  • Good working knowledge of Babcock Marine Division’s procedures, the Company organisation and business issues.
  • Excellent administration and interpersonal skills.
  • Ability to work in a team, be flexible and have a background of working in team environments to provide Secretarial support.
  • Be able to work on own initiative
  • Motivated to deliver a professional service at all times
  • Ability to problem solve
  • Decisive
  • Excellent level of customer service

 

Qualifications & Requirements:

 

Minimum of 5 GCSE’s A* - C including English and Mathematics or equivalent.

NVQ 2  in Business and Administration

Have or be prepared to work towards an NVQ 3 Business and Administration

 

Security

 

Successful candidates will need to satisfy Ministry of Defence security requirements and may be required to complete a medical assessment.

 

Grade

 

This position is within the Central business unit as a grade 1 which has a salary of £19,655 with DRDL Terms and Conditions.
