In this role, you will:

  • Provide project monitoring and controls support to the VISSC Program by:
    • Administering the project database
    • Developing and generating live, periodic, and as requested, consolidated program and discrete project status reports
    • Providing project cost control support including:
      • supporting monitoring of project cost adherence
      • cost performance measurement
      • administering expenditure limitation notices
      • supporting fiscal year budget monitoring and adjustments
    • Providing project change control support including:
      • administering of change requests, notifications and authorizations
  • Provide project lifecycle management support to Program and Project Managers through:
    • Administering project initiation gate reviews and supporting proposal development
    • Administering project execution gate reviews
    • Supporting project closures through administering close-out checklists, Task Close-out and Acceptance (TCOAs) forms, invoiced in full notifications, customer acceptance notifications and archiving of project records
    • Undertaking project management related tasks in an assistant role and understudy the Project Managers wherever practicable
  • Provide Documentation and Records Management support by:
    • Managing the VISSC program positional mailbox
    • Supporting VISSC SharePoint content management activities
    • Supporting VISSC SharePoint user account access management
  • Coordinate all internal, and external customer, queries and requests to the VISSC Program team through the positional mailbox
  • Undertaking other duties as deemed necessary and reasonable



The ideal candidate brings:


  • A bachelor's degree, college diploma or certificate in administration, business management, accounting
  • 2 years of related work experience
  • Certification as a Certified Associate in Project Management (CAPM) with experience working in a project based environment
  • Intermediate user skills with Microsoft Word, Excel, PowerPoint, Power BI, Teams, and possess experience with the use and management of SharePoint and/or other document management systems
  • The ability to understand and adhere to procedures and policies
  • The ability to work with precision and accuracy, demonstrates attention-to-detail and has excellent record keeping skills
  • The ability to identify and implement innovative administrative solutions to increase efficiencies
  • Good judgment and a high level of confidentiality
  • Excellent verbal and written communication skills
  • The ability to function in a self-directed manner in a team environment, including personal workload management (organizing and prioritizing) with a focus on meeting deadlines in a high-paced environment
  • Strong interpersonal skills for collaboration with subject matter experts, colleagues, and users
  • Experience in gathering, maintaining, reporting and analyzing schedule/cost data
  • You are skilled at researching information
  • You have skills in planning, designing, managing, and controlling online and print content, through collaboration with other team members in information development (an asset)
  • Experience working with the Department of National Defence (DND) and/or Public Services and Procurement Canada (PSPC) (an asset)
  • Proof that you are fully vaccinated against COVID-19, meaning that you must have received the full series of a COVID-19 vaccine approved by the Government of Canada with the final dose at least 14 days prior to your start date
  • You are eligible for a Canadian Secret Security and ITAR Clearance
